Archiving applicant declarationsAs a registrar you must keep a complete archive of applicant declarations for all domains you have registered or transferred to a new holder. The archive can consist of paper documents, digital copies or a combination. You must keep the declarations in a way which makes it easy to check that it was signed before registration and that it has been signed by the applicant. If the applicant has chosen to send you the original document, you must keep this in your archive. If you have received a copy by fax, you keep this copy in your archive. If the document is sent to you by email, you must save it in one of the accepted file formats. The archive must be organized in a way which makes it possible to retrieve single documents. This means that the applicant declarations should be filed in a separate archive and not with other customer documents. Please note that you must keep the applicant declaration in your archive even if the domain is deleted, transferred to a new holder or to another registrar. If a declaration form is missing, you have to contact the holder and collect a new document. Applicant declarations should not be sent to Norid unless we specifically ask for it. You keep your archive of applicant declaration as long as you are a registrar. If the registrar agreement is terminated, the archive should be sent to Norid. If an applicant declaration is missing, we contact the holder directly in order to collect a new document. All costs connected to this is deducted from the deposit.
